An AI assistant does not know your business. It answers from the content you give it. Most wrong answers come from missing, outdated or contradictory content, not from the model. This checklist helps you prepare the material before the build starts.
1. Collect real questions
- Export the last few hundred messages from your website chat, messengers and email.
- Ask managers which ten questions they answer every day.
- Group the questions by topic: prices, booking, delivery, payment, returns, documents.
2. Write one clear answer for each question
- One topic per document or section. Short paragraphs, plain words.
- Exact numbers: prices, working hours, delivery times, addresses.
- Conditions and exceptions written out, not implied.
- No contradictions: if the price list and the website differ, decide which one is right.
3. Decide what the assistant must not answer
- Medical, legal and financial advice.
- Individual prices or discounts that only a manager can approve.
- Complaints and disputes.
For each of these, write what the assistant should say instead and to whom it hands the conversation.
4. Define the handoff
- When the assistant asks for a name and contact.
- Where the lead goes: CRM, email or a Telegram chat.
- Who answers and how fast during working hours and outside them.
5. Test before launch
Take 30 real questions from step 1, including difficult ones, and check every answer. Fix the content, not the wording of the question. Repeat until the answers are correct.
6. Keep it current
- One person is responsible for the knowledge base.
- Prices and terms are updated in the knowledge base on the same day they change.
- Once a month, review the questions the assistant could not answer and add them.
Our AI Assistant package includes preparing a knowledge base of up to 50 pages from your materials and testing on 30 real questions.
